## What is Alpacca?

Who's working Saturday, who has clocked in, whether the closing checklist got done, and who has the van keys — one app, one flat price for the whole organization.

Alpacca runs the organization: the schedule, the shifts, the time clock, the bookings, the clients, the tasks and the equipment. It's built for barbershops, salons, cafés, clinics, cleaning and trades crews — small businesses that have outgrown a group chat and a shared spreadsheet. Nonprofits that run the same way use it too.

Try it first
Tap Try the demo on the first screen and run a café with a team and six weeks of history, as its owner. No account needed.

Shift scheduling
Build next week's schedule from your usual one and publish it in a few minutes. A shift that's short of staff is flagged. Someone can't make their shift? They can hand it off, and anyone qualified can pick it up, with your approval if you want it.

Shift checklists
Give a shift its routine: opening, closing, cleaning. Members mark each item done during the shift, with who and when, and clock-out reminds them what's left.

Time clock
Turn an iPad or tablet you already have into Alpacca Terminal. Open alpacca.app/terminal and pair it from the app. Your team taps their name and a 4-digit PIN to clock in, take a break or clock out — no account or app for them. It keeps working when the wifi drops.

Or let members clock in from their own phone: everyone, or only the people you choose. Each punch records the street it came from. Nobody is tracked in between, and clocking out always goes through.

Time cards
Every member's week in one place. Hours so far plus the shifts still ahead show overtime before it happens, and late, early and missed shifts are marked. Members ask for a fix on a missed punch, which counts only once a manager approves it. When a pay period ends, approve each person's hours, then export them to Excel, or to PDF with one page per person.

Labor costs and reports
Turn on labor costs and add each person's pay, by the hour or by the day. See what the week costs while you build it, and what each person cost in any pay period. Only owners and admins see pay. Reports cover attendance, labor cost and who came to your bookings, and export to Excel.

Equipment handoffs
Take the van keys, the till or a tool, or assign it to a person or a team, due back when the shift ends, when you close or on a date, with a note for whoever is next.

Bookings, classes and tours
Share a booking page where clients pick a time that works, with the person they want or whoever is available. Or run a class or tour at set times: guests take a spot on one date or sign up for the whole course. For one person, use Suggest times. Every booking lands on your calendar, and you mark who came.

Clients, vendors and tasks
Contacts, notes and one History for each client and vendor. Assign tasks with a due date. One shared calendar, polls and time off.

What Alpacca doesn't do
We don't process donations, dues or payments, and we are not a payroll or accounting system. Labor costs are an estimate; whoever runs payroll still does.

Plans
One flat price per organization, not per person, billed monthly, quarterly or yearly. Every feature is in every plan; plans differ only by how many members they hold.

Essential — up to 8 members. $12.99 per month, or $99.99 per year.
Standard — up to 25 members. $24.99 per month, or $199.99 per year.
Pro — up to 75 members. $49.99 per month, or $399.99 per year.

Essential, billed monthly, includes a 14-day free trial that becomes a paid subscription when it ends unless you cancel first. Every other plan and billing period is charged from the first day. Subscriptions renew automatically at the price and interval shown at checkout until you cancel. Cancel any time in your Apple account settings; cancelling stops the next renewal, and access continues to the end of the term you have paid for.

## Version history (last 5 releases)

### 1.5.0 — 2026-10-11

Approve the hours before payday. When a pay period ends, Time cards shows who's approved and who's left. Open someone's week, check their days and approve. Approving locks nothing: if their hours change afterwards, they show as changed, with the days that moved, and wait for you again. Members never see approvals.

See what the hours cost. Turn on labor costs and add each person's pay, by the hour or by the day, with your overtime rules. Time cards and the week you're building show what it costs, and picking who works a shift shows what each person would add. Only owners and admins see pay. It's an estimate; whoever runs payroll still does.

Reports: who was late, left early or didn't come; labor cost person by person; and who came to your bookings. Export any of them to Excel.

Mark who came. Once a booking has started, mark it Came or No-show. Each booking page shows the month so far by service, from your own prices. Alpacca doesn't take payments.

On an iPad, Alpacca has a sidebar with everything in it, lists open as tables, and clients, vendors and members open with a cleaner header.

The demo has six weeks of history now, and a few things to try, like approving last week's hours.

Fixes: a second contact picked from your phone no longer keeps the first person's details, a week that has ended no longer shows hours still scheduled, and more accessibility and Spanish fixes.

### 1.4.2 — 2026-10-10

Classes and tours at set times. A booking page can now run on dates you set instead of open appointment slots. Guests take a spot on one date, or sign up for a whole course. Set how many spots each date has, skip a date or add a make-up, and run it outside your business hours when you need to.
Staff a class as shifts. Whoever runs the class clocks in and out of it, and the hours go on their time card. Your team can pick up or give away a class from their schedule, the same way they do a shift.
Suggest a few times. Pick up to 10 times that work for you and send the link to one person. They choose one, and the link closes.
Edit subtasks. Add, rename, remove and reorder a task's steps in edit mode. Ticking them off is still one tap.
Also in this update:
• After you pick up a shift, you show on it right away, and if a pick-up doesn't go through, the app tells you
• Skills can go on any shift, and you can create one from the picker
• Better support for VoiceOver, larger text and Reduce Motion
• Lists sit in a centered column on iPad
• Polls keep to their own limits, and a closed poll says so in your inbox

### 1.4.1 — 2026-10-02

Try the demo. On the first screen, Try the demo opens a café with a team and a week of shifts. Look around as the owner or as someone on the team, no account needed.

Shift checklists. Give a shift in your usual week its routine: opening, closing, cleaning. Members mark each item done, stamped with who and when, and clock-out reminds them what's left. A checklist locks 2 hours after the shift ends, so it stays a record.

Tasks about a client, vendor, asset or event. Create one from its page, and once it's done it shows in that record's History. Clients, vendors and assets share one History: past events, checkouts, finished tasks and what's coming up.

The Tasks tab shows open work. A finished task waits a few seconds with Undo, then moves to Completed.

Join links when they matter: after you add people, after you publish a week (with each person's shifts), and on a person's page.

Time cards filter by people, team, skill or what needs attention, and the export follows the filter. Clocking in from a phone tries harder to find your location, and tells you when a punch didn't go through and why.

Only mine on the calendar shows the shifts, events and bookings you're on. People who left your organization keep their name on the records they left behind.

Plus better layouts at large text sizes.

Add your team from your contacts. Pick several people at once, check them over, and add them in one go, with their teams and skills.

Polls do two jobs: find a time that works, or make a decision. Each poll has one page for voting and results, you can see who hasn't answered yet, and when it closes everyone hears what was decided.

Members hear back when their time card fix is approved or declined. Share the published week as a PDF, and cancel a time off request you no longer need.

On iPad: no empty panels, lists sized for reading, search in the title bar, and more detail in each row.

Plus faster loading on Home and fixes throughout.
