## What is EventTray?

EventTray is the real-time command center for event crews. Group leaders schedule events, roster personnel, and coordinate everyone from one screen — with AI-powered dispatch, live zone tracking, and automatic data deletion.

COMMAND CENTER
See your entire crew at a glance: who's on site, who's on a task, who's delayed. Crew are grouped by venue zone with live headcounts, active tasks, and priority incidents — all on one dashboard that refreshes in real time.

SCHEDULE & ROSTER
Plan events up to a month ahead. Add the venue address, set the date, and build your crew roster. Each crew member starts as "invited" so they can prep and download the app before event day. When you create an event, you get a 6-character access code to share with your crew.

CREW JOIN FREE
Crew members download the app, sign in, and enter your event code to join. They don't need a subscription — your leader plan covers the whole event. Crew can pick their role (delegate, speaker, AV crew, catering, security, cleaning crew, or admin) and start following up.

FRANCO AI DISPATCH
When an incident is reported, Franco — the built-in AI coordinator — instantly routes it to the nearest qualified responder. Franco analyzes the incident type, matches it to the right role (security, AV, catering, cleaning), checks who's closest by zone, and sends a personalized briefing to the responder. Franco can also nudge delayed delegates with a warm check-in and quick-reply buttons.

TASK MANAGEMENT
Leaders broadcast tasks to all personnel. Crew accept the ones they can handle, mark them done with a note when finished, and the leader verifies the work is complete — or rejects it for rework. The full lifecycle is tracked: pending → accepted → completed → verified.

LIVE PERSONNEL TRACKING
Every crew member's duty status is visible in real time: on site, on task, delayed, or off duty. Crew who are running late can report a delay with a reason (traffic, parking, lost, equipment, personal, weather) and an optional note to the leader. The app notifies you when all on-duty crew are within range of the venue.

INCIDENT MANAGEMENT
Report incidents with severity levels (low, medium, high, critical) and zone location. Track each incident from open to dispatched to in progress to resolved. Franco generates a deploy briefing for the assigned responder so they know exactly where to go and what to fix.

FIELD REPORTS & AI POST-EVENT REPORTS
Crew file field reports by zone during the event. When it's over, Franco analyzes all the data — incidents, delays, crew reports — and generates a comprehensive post-event summary with recommendations.

PRIVACY BY DESIGN
All event data is automatically deleted within 48 hours after the event. Reports, locations, incidents, crew records — nothing is kept. You're in control: set your status to "Off Duty" at any time to pause live tracking.
