## What is Maintivo?

Job sheets, site reports and invoices for small field service businesses. Fill in the job on site, add photos and signatures, and send a clean PDF with your logo before you leave.

Maintivo is for the owners and engineers of small service firms who are tired of paper job sheets and typing reports up in the evening: heating and gas, air conditioning and HVAC, plumbing, building services, facilities and property maintenance. Work alone or bring your whole team.

TRY IT FIRST
- Open the app and you see a finished report straight away: no sign-up and no card
- Your first report is free

A REPORT IN MINUTES
- Pick a form, tap through it, done
- Photos with date stamps
- Item-by-item findings: pass, fail or not applicable, with notes
- Engineer and customer signatures on the screen
- Dictate your notes instead of typing

A PDF YOU ARE HAPPY TO SEND
- Your logo, company details and registration numbers on every report
- Customer, site and equipment details at the top
- Clear sections, page breaks in the right places, numbered reports
- Share it by email, message or any app on your phone

READY-MADE FORMS, OR BUILD YOUR OWN
- General work inspection and job sheet
- HVAC and air conditioning service, air handling unit, fan coil unit
- Boiler service and Gas Safety Record
- Split AC, VRF and chiller service with F-Gas leak check
- MVHR and HIU commissioning
- BMS service and inspection
- Build your own form in a few steps: your sections, your questions

WORKS WHERE THE SIGNAL DOESN'T
- Reports, photos and signatures save on your phone
- Everything uploads by itself when you are back in range

IT DOES THE SUMS FOR YOU
- Readings sit beside their design figures, with anything out of tolerance flagged
- Refrigerant work: enter the gas and the charge and Maintivo works out the tonnes of CO2e and when the next leak check is due under the Great Britain F-gas rules
- Instrument serial and calibration date, with a warning if it is out of date

FOR THE OFFICE
- Work analysis: jobs by engineer, area, client or work type for any period
- Your team on one account: invite engineers by email. They see only their own jobs, the owner sees everything
- Clients and sites saved as you go, with the report history at each address
- Equipment register with reminders 90 days and 30 days before a check is due
- Optional invoicing add-on: open a finished report and tap Generate invoice. VAT, deposit and payment terms included. Each invoice shows the report number, the site address and the order numbers
- One free login for your accountant: they see your invoices and reports and can create invoices, never your client list. You choose what they can do and see everything they did
- The same account works in a browser at app.maintivo.com when you are at a desk

Maintivo helps you record the job properly and shows its working. You remain the competent person and you sign the record. It does not certify work and it is not legal advice.

SUBSCRIPTIONS
Your first report is free. After that, Maintivo Pro is a monthly subscription for the owner account, with a free trial for new subscribers. Engineer seats and the invoicing add-on are optional monthly subscriptions, paid by the owner. Engineers you invite do not need a subscription of their own.

Payment is charged to your Apple ID at confirmation of purchase. Subscriptions renew automatically unless cancelled at least 24 hours before the end of the current period. Manage or cancel in your Apple ID settings.

## Version history (last 5 releases)

### 1.2.3 — 2026-11-05

What's new in 1.2.3

- Your accountant, free: invite one accountant per company from Team or from Invoices. They sign a confidentiality agreement with you, see your invoices and reports and can create invoices. They never see your client list, team or settings. You choose whether they can send invoices or mark them paid, and you can see everything they do and when they were last online.
- Report number on invoices: an invoice made from a report shows the report number, the site address and the works order and purchase order numbers.
- Sites: every job address in one place, with the report history at each site. Flats and units are kept apart.
- New form: BMS Service and Inspection.
- A monthly summary email for owners.
- Smaller fixes and improvements.

### 1.2.2 — 2026-10-23

Invoices that look like yours, and a quicker app.

- Invoice in pounds, euros, dollars and more, with the right late-payment wording for where you are
- Your colour, logo and details now show on every invoice, old and new
- Add a note to the customer on any invoice
- Filter reports and invoices by date: last week, month, 3, 6 or 12 months, or your own dates
- Clients: landline, county and notes, and spreadsheet import that sorts the columns for you
- A short tour the first time you open the app, and tips on each screen
- Select several reports at once with the new Select button
- Turn on reminders for equipment that is due
- Faster switching between tabs, and fixes throughout

### 1.2.1 — 2026-10-18

A new look, and quicker to get around.

- New layout: Home is now your dashboard, with Reports, Invoices and More one tap away, and a + button to start a report or an invoice from anywhere
- Work analysis: see how many jobs were done by engineer, area, client or work type for any period, and tap a bar to see the reports behind it
- See a finished report the moment you open the app, then edit it as your own
- Report PDFs: a cleaner, more finished look, with page numbers on every page
- Photos: tap any photo in a report to see it full screen and swipe through the rest
- Help where you need it: a small "?" beside a field explains what to enter
- New invoice: make an invoice without starting from a report
- A reminder to add your bank details, so they print on your invoices
- A fresh design in light and dark, with smoother movement between screens
- Fixes to sign-in, password reset, equipment, reports and settings

### 1.2.0 — 2026-10-05

Version 1.2 is a big one.

- New report layout: a cleaner, shorter PDF with your logo, company details and registration numbers
- Nothing is cut short: full customer and site details at the top of every report
- Works better with no signal: nothing is removed from your phone until it has uploaded
- Owners: close and reopen reports, and see what is due on your equipment
- Engineers: join a team from an invite and add your own registration numbers
- More built in to the gas, chiller and air conditioning forms, with the sums done for you
- Sign in with Apple or Google more reliably
- Dozens of fixes to reports, photos, invoices and settings
