## What is Procoflow?

Procoflow is a multi-tenant inventory and procurement platform that any company can set up for itself — a foundry, a textile mill, a hospital store, an auto-parts dealer, or any business that buys materials and tracks stock.

Run the full lifecycle of a material request in one place:
Request raised → Store review → Purchase order → Admin approval → Order placed → Delivery → Quality check → Goods received & stock updated → Closed.

Cancellations, rejection loops, quality-fail branches, partial deliveries, returns, stock issue and consumption, and new-item onboarding are all first-class — not afterthoughts. Aging and escalation surface anything stuck or overdue.

Procoflow is a business platform used by your organization's team. Accounts are provisioned by your company; there is nothing to buy inside the app.

### 1.2.1 — 2026-09-16

Bill verification

• Every completed order now has its bill checked on the record: Purchase looks at the documents and ticks, the bill is marked Recorded once it is entered in your accounts, and Accounts gives the final tick. A remark can ride with each tick; the bill number, date and amount are optional.
• Either checker can flag a bill — wrong amount, missing, wrong vendor, unreadable, duplicate — and the admin decides: ask for a re-upload, reject the document, accept as-is, or keep it flagged.
• Every step can be walked back, and every step is in the order's history: undo a tick, un-verify with a reason, withdraw a flag.
• Verification appears on the order, on the request, as a Bill mark on the completed orders list, and on its own screen under More with filters for what is waiting on whom.
• Accounts is a named profile on the Purchase login, assigned by the admin, with an optional PIN so nobody can tick as that person by accident.

Item photos

• Photos now stay with an item when it is merged or moved to Repair & Maintenance — they used to vanish with the old row.
• Repair & Maintenance items can carry a photo too.
• Photos are shrunk on the phone before upload, so adding one takes seconds instead of half a minute on a slow connection.

Bidding and orders

• Splitting an award between vendors is now a clear choice: award the lowest bidder per item, or pick a vendor per item yourself, with a who-gets-what plan before you confirm. Each part of a split can be cancelled on its own.
• Bids state GST per line, and the buyer sees "GST not stated" when a vendor left it out — it is never silently taken as 0%.
• Uploads ask for the document type and, for a bill, its number, date and amount; details can be edited later.

Also

• The out-of-stock month report is always one tap away on the dashboard, even when nothing is out of stock today.
• Form errors name the field that needs fixing.

Rate enquiries

• Vendors → Enquiries: the rate sheet — every item ever quoted, cheapest vendor first, next to what you last paid — with filters for cheaper than last paid, never bought, low stock, only one quote and can't supply.
• Open any enquiry to compare replies item by item, read a vendor's whole quotation, chase a vendor, send the same enquiry to more vendors, type in a quote that came by phone, and extend or close replies. New enquiries are still sent from the web.
• When you draft an order, each line shows the vendor's quote with a one-tap "Use quote". Pricing above a quote that is still valid asks you to say why — it used to fail silently.

Orders

• The send sheet can deliver to an address that isn't one of your units, and bill to a different company than the one on the letterhead.
• The orders list adds up what you are looking at, GST and freight included.
• A cancelled order the vendor already holds can still be emailed — the cancellation template is ready to send.

Inventory

• Once a week, opening Inventory asks you to check which items skip quality inspection; new items are listed first. "QC review" in the menu opens it any time, and a Needs QC filter shows what still goes through inspection.
• Items carry a specification — grade, size, make — shown on the item, in the item picker, and on enquiries and order lines.

### 1.1.9 — 2026-09-10

Plants

• The works you are on now has its own colour — on the header badge and on every request and order in your lists, so two plants never look alike again.
• Raising a request shows the plant at every step, not just when no plant is chosen. A request can no longer be raised against the wrong works without anyone noticing.
• Raised against the wrong one? You can move it, right up until the gate takes the material in. A request still being sourced simply moves and takes the new works' numbering. An order the vendor already holds keeps its number, and an admin approves the new delivery address before it goes back out as the next revision.
• Moving one back undoes the pending address change with it, instead of leaving an approval sitting there for a move that was reversed.

Repair & Maintenance

• Issuing an item is a store right now, so anyone who can issue stock can issue maintenance work. The button no longer appears and then refuses.
• An issue moves that works' own balance, so the list drops straight away instead of looking unchanged.

Orders

• Rate and GST stay correctable after the material has been counted in, and on completed orders — for when the invoice disagrees with the order. The change goes to an admin and the vendor receives the new revision.

Quality

• The inspection queue names only the lines that still need inspecting, and says how many of the order's lines those are, instead of showing the first line's name and the whole order's quantity.
• An order with nothing counted at the gate no longer passes as though the full quantity had arrived.

### 1.1.8 — 2026-09-07

Split awards, finished

Choosing the winners of a split award now happens in its own screen, opened from the auction, so you can see every supplier's price for every item before you decide. Once an order is split, the request shows each part — who has it, which items, and how far along it is — and "Open order" asks which part you want when there is more than one.

Prices
• The per-item price view now shows what each item last cost, and from whom.

Everywhere
• Dates read the same on every screen: "06 Sept 2026", with the time where it matters.
• Small fixes to status labels and headings so lists and detail screens match.

### 1.1.6 — 2026-09-01

More than one plant, in one app
- If your company runs more than one plant, the app now works plant by plant. Pick the plant you are looking at from the header; stock, requests and orders all follow it.
- Every request and order says which plant it belongs to, and the team activity list names the plant beside each person.
- Raised a request against the wrong plant? Move it from the request screen — a draft order moves with it, and once the supplier holds the order the app tells you it is too late.
- People who only work at one plant see none of this. Nothing changes for them.

An item screen that answers the question
- Opening an item now shows the whole story: stock at each plant, a year of consumption with the burn rate, who draws it, which suppliers you buy it from and what they charged, and the recent movements.
- Items can hold photos and documents for the first time — a picture of the material, a safety sheet, a test certificate — added from the camera, your photos or a file.

What has run out, and for how long
- The dashboard names the items that are stopping work, how many days each has been dry, and whether anything is on the way.
- Tap the count to see every item that is out of stock right now; tap the report link for a month-by-month view of what ran out and how often.
- Tap any item for the full picture: usual monthly use, how short you are, and what to do next.

Deliveries that arrive in parts
- The gate can now take a delivery that turns up later against the same order, instead of people having to correct counts or adjust stock to make it fit.
- The gate cannot pass a delivery where nothing actually arrived.
- Quality inspects what is still left rather than skipping a balance that already has a record, and receiving offers only what quality has passed.
- An order line reports what is genuinely outstanding, and says so plainly when the gate count and the order disagree.
- Stock that is already on the shelf can be booked against the order it came from.

Orders
- An ordered purchase order carries the supplier's promised date, counting down day by day, with a remark box that offers the phrases people actually type.
- Purchase can send several approved orders at once.
- An order says which unit it delivers to, and asks rather than assuming.
- Catalog items can carry an HSN code.

Inventory and Repair & Maintenance
- Categories now belong to Inventory, to Repair & Maintenance, or to both.
- An item can be moved between the two catalogs, carrying its stock and its history with it.
- Skip-QC is a visible choice on every request line.

Fixes
- Coming back from a record no longer loses your place — searches and filters stay as you left them.
- Switching plant no longer leaves the previous plant's rows on screen.
- The raised-and-closed chart draws two colours you can tell apart, and quiet days no longer disappear from it.
- Eight more profile pictures to choose from.
