Swiftly Workspace runs your business from your iPhone and iPad: customers, invoices, payments, projects and time tracking in one place, with an AI assistant built into every screen rather than bolted on as a separate chatbot. AI THAT WORKS ON YOUR OWN DATA Ask questions in plain language and get answers drawn from your actual records, not generic advice. Open the assistant inside any record and it already has the context of what you are looking at. Creating a customer, invoice or project? Describe what you need and the assistant fills the form, so you review and correct instead of typing from scratch. Dictate with your voice instead of tapping. Bring your own AI provider. Anthropic Claude, OpenAI, Google Gemini, Grok, Mistral, Cohere, DeepSeek and Perplexity are all supported with your own API key, and Apple Intelligence runs on device. CUSTOMERS AND SUPPLIERS Keep customers, suppliers, contacts and addresses together. VAT numbers are checked against the EU VIES service and email addresses are validated, so bad data is caught before it reaches an invoice. INVOICING AND PAYMENTS Issue invoices, credit notes and proformas on both the customer and supplier side. Record payments and allocate them across documents. Manage SEPA direct debit mandates. EUROPEAN E-INVOICING Send and receive PEPPOL BIS 3 electronic invoices. Incoming documents are parsed, scored for confidence and can be imported automatically once you trust the match. Sending and receiving are switched on independently. PROJECTS AND TIME Plan work as phases, work packages and tasks with the people assigned to each. Track time against projects and route it through approval workflows, with required approvers set per project. BUILT FOR CONTROL Roles and per-field permissions decide exactly who can see and change what. Whole modules can be switched on or off per company, so people only see the parts they use. Configure which fields appear, which are required and what they default to, without waiting for a release. Change history records who changed which field, from what value, and when. Set it up once and every assistant in the app uses it. An assistant inside New forms The AI assistant now works while you are creating a record, not only on saved ones. Describe what you need and it fills the fields in front of you, and nothing is stored until you tap Save. Available on eleven create screens including customers, invoices, payments, projects and items. Log time straight from a project Project time entries are no longer read only. Add a time entry from the project itself with the project and customer already filled in, and it lands in the right timesheet for the period automatically. Simpler record creation Creating a customer, item or agent now shows one clean form with everything needed to save it, instead of a row of greyed out tabs. Optional detail moves to its own tab once the record exists. Customer Type can now be chosen on iPhone and iPad, so individual customers can be created on mobile. Invoice reminders now really send A reminder could be recorded as sent when no email had actually gone out. Reminders now send properly and the status reflects what really happened. Every confirmation has a Cancel button Confirmation prompts on iPhone and iPad now always show a clear way to decline. Nine destructive prompts previously offered none at all. Data export Name and describe your exports, save filter settings to reuse them, select several filter values at once, and filter on dates. Filters that could never return anything are now either working or clearly marked unavailable. Clearer errors When something is blocked by your access rights, or a customer cannot be deleted because other records depend on it, the app now explains what and why instead of showing a generic failure.
